TERMS & CONDITIONS OF BOOKING - WHAT YOU SHOULD KNOW BEFORE YOU GO
In booking a Conquest Vacation or Air Only, you and those on whose behalf you are booking become party to a contract with Conquest Vacations and those companies providing the services included in your holiday. When you book with Conquest Vacations you agree to the terms and conditions stated. Please ensure you read and understand before you book.
PRICES:-
Prices quoted in the terms and conditions are in Canadian dollars unless otherwise stated and are subject to change. Some countries charge a specific departure tax which is paid locally. The approximate amounts are listed on the destinations page of those countries where the departure tax is applicable.
DEPOSIT AND FINAL PAYMENT:-
A non-refundable deposit is required at time of booking or full payment for bookings made within 45 days of departure. The amount of the per person, non-refundable deposit varies with the type of booking.
A Conquest Vacation - $250
Air Only - Full payment at time of booking unless otherwise specified
Air Transat – Transatlantic $150.00
Zoom - Full payment at time of booking
Final payment must be received by Conquest at least 45 days prior to departure or the booking may be cancelled and cancellation charges applied unless earlier payment is required to qualify for an early booking bonus. Payment can be made by Visa, MasterCard or American Express credit cards. Your verbal authorization indicates your acceptance of the terms and conditions of Conquest and the Carriers, whether or not you have signed the appropriate draft.
CHANGES TO A BOOKING:-
Should you wish to change your booking outside 45 days prior to departure an administrative charge of $50 plus GST per booking will apply in addition to any penalties levied by the hotel. Applicable cancellation penalties apply to the changes made within 45 days of departure. Date changes must be within the applicable time period of the current flying agreement. Changes and/or corrections are subject to airline fees.
TRAVEL DOCUMENTS:-
A Conquest Vacations e-ticket and e-hotel confirmation for fully paid bookings will be available 28 days prior to departure. The e-documents can be retrieved either by you or your travel agent at www.conquestvacations.com. E-tickets are non refundable and non endorsable and are valid only for dates and flights purchased. If it is found that the payment process is not complete, Conquest Vacations reserves the right to reverse the e-document process and or cancel the booking. If e-documents are lost while travelling they can be re-issued only in southern sun destinations for a fee of $25.00. Please see the local tour operator representative.
LAST MINUTE BOOKINGS:-
Please note that all bookings made within 14 days prior to the date of departure are deemed to be last minute bookings. E-tickets and e-hotel confirmations will be available 3 hours after confirmation provided your booking is paid in full.

The following cancellation penalties apply from the date we are advised of your cancellation:

Penalties are applied on the total price including all applicable taxes and surcharges.
DOCUMENTATION:-
It is the personal responsibility of all travelers to have in their possession before leaving Canada, the correct documentation required for both their journey to their destination and return to Canada. This includes passport validity dates as certain destinations may require your Canadian passport to be valid for a time period past the date of your return to Canada. If documentation is not in order, the carrier may refuse passage and you will be responsible for all costs incurred. Special notarized documentation may be required for unaccompanied minors and also children traveling without both parents.
NEW REGULATION:-
Please note that under the federal government's Passenger Protect program all airline passengers who appear to be 12 years of age or older will be required to present identification prior to boarding an aircraft.
The ID requirement under the Passenger Protect program is for one piece of valid government-issued photo ID that shows name, date of birth and gender, such as a driver's license or a passport, or two pieces of valid government-issued ID without photo, at least one of which shows name, date of birth and gender, such as a birth certificate. The name on the identification must match the name on the boarding pass.
IMPORTANT – The above requirements are for Passenger Protect and DO NOT replace the entry requirements for the country of arrival.

CHILDREN AND INFANTS:-
For southern vacations, unless otherwise stated, children’s prices are limited but not restricted to children 2-11 years of age at the time of departure sharing a room with 2 full paying passengers. Infants under 2 years of age at completion of travel fly free of charge (1 infant per adult) but are not allocated an aircraft seat or any baggage allowance. Air only flights do not offer a children’s discount whether or not accompanied by an adult.
UNACCOMPANIED MINORS:-
Children of at least five and not yet turned twelve years of age are designated as unaccompanied minors (UM) when traveling alone. Some carriers restrict the carriage of unaccompanied minors therefore please contact our Customer Care Centre at 416-665-9222 or 1 800-268-1925 for more information. A fee in addition to the air fare may be charged for the carriage of the UM. Booking online without the carrier having the correct information may result in the UM not being allowed to travel.
BAGGAGE ALLOWANCE:-
The terms and conditions with respect to checked baggage, cabin baggage and excess baggage are set by the Carriers. We strongly suggest that additional insurance is purchased especially for all fragile articles. Conquest cannot accept responsibility for loss, damage or delay of baggage.
SEAT ASSIGNMENT:-
Unless already pre-assigned, aircraft seating is handled by staff at the carrier’s check-in counter which usually commences 3 hours prior to departure. The counter check-in cut off time for flights is 45 – 60 minutes prior to departure depending on the carrier. Prior seat selection is available on certain flights for a nominal fee. ROOM AVAILABILITY:-
Hotel rooms are generally available from 3pm on the day of arrival and until noon on the day of departure regardless of your flight arrival or departure time. For passengers who purchase an all inclusive plan, the property privileges commence at check-in and discontinue upon hotel’s official check-out time. No compensation will be paid for unused food, beverages or services.
LIVING STANDARDS:-
Travelers should be aware that different living standards and practices may exist outside of Canada including but not limited to: provision of utilities, eg. water and electricity, accommodation, services of all kinds, food, food preparation and water quality. Conquest shall not be responsible for any loss, damage, illness or injury resulting from such different living standards. Conquest Vacations also cannot accept responsibility for the behaviour of other guests/groups nor the withdrawal of services or facilities due to the local cultural and political events or holidays.
REPRESENTATION SERVICE AND PROBLEM HANDLING:-
If you have any queries, problems or emergencies, raise them with your Conquest Representative and the Hotel Management during your stay. Do not wait until you return to do something about your complaint. If you cannot resolve your problem in destination please notify Conquest Vacations in writing within 30 days of your return.
CLAIMS:-
The passenger agrees that any claim against the Tour Operator shall be made by the passenger in writing and received by the Tour Operator no later than 30 days after the event causing the claim. Claims or demands made after 30 days will not be responded to. Claims must be in writing and sent by registered mail to the address of the Tour Operator, below, prior to the commencement of any legal proceeding and under no circumstances shall you claim from the Tour Operator an amount in excess of the costs of the vacation paid by you.
ACCOMMODATION:-
Every effort will be made to ensure that the accommodation included in the price of your holiday will be provided as advertised. Should Conquest become aware of a change in your accommodation before you leave, Conquest will make every effort to advise you. Since Conquest does not control the management of hotels and resorts, Conquest cannot be held responsible should some of the services, sports facilities or other general hotel facilities described, cease to be available or are not working. Occasionally hotels may be unable to provide you with your accommodation in which case you will be accommodated in a hotel of similar or superior category at no additional charges. If a lower priced hotel is provided, you will be refunded the rate difference upon your return. No other compensation will be paid.
CONSTRUCTION/RENOVATION:-
All hotels undergo routine maintenance and renovation. In popular resort areas there is on-going construction and Conquest Vacations is not responsible for any interruption and/or inconvenience you may encounter as a result. At brand new hotels, some facilities may be not be fully operating and landscaping and other finishing touches may be ongoing during your stay. If we are advised that significant work at your hotel will be in progress during your stay, we will try to advise you prior to your departure.
CAR RENTAL:-
Drivers must be a minimum of 21 to 25 years of age and hold a valid drivers license. There may be a surcharge for drivers under 25 years of age. Rates quoted do not include fees such as taxes, gasoline, optional insurance and collision damage waiver, etc. which are payable directly to the car company. A major credit card or cash deposit will be required upon rental of vehicle. Daily rental rates are based on a 24 hour rental day starting at the time of rental. Cancellation of a car rental reservation will be subject to a $25.00 administration fee.
FLIGHT TIMES, SCHEDULE CHANGES & DELAYS:-
Flight schedules are subject to change. Flight times are shown on your e-tickets but you should verify departure times with the carrier well in advance of leaving for the airport. Flight schedules are subject to change. Conquest will make every effort to advise passengers of any changes. Conquest Vacations cannot be held responsible if you miss your flight or are denied boarding by the carrier. Whenever passengers book connecting flights, sufficient time must be allowed to make the connection. Conquest will not be liable for any change of schedule or missed flight including any additional fees incurred.
At commencement of travel, flight delays can occur through an Act of God, such as a storm, strikes, at the direction of a Governmental Agency or for technical reasons. The Carrier cannot be held responsible for other than delays caused by technical reasons. We regret that Conquest cannot accept responsibility for providing a refund for missed holiday time.
HOLIDAY INSURANCE:-
In the case of cancellation due to health problems or unforeseen circumstances, it is extremely important that all vacationers be insured. We strongly recommend that you purchase holiday insurance offered by Conquest Vacations.
CONQUEST:-
a. may cancel, modify or substitute certain services.
b. may refuse a booking by returning all monies.
c. may refuse to supply or to continue a travel service where the traveler is in violation of a supplier's terms and conditions; appears to be under the influence of narcotics or alcohol; is ill; when it is anticipated that the traveler will be a security risk to other passengers or is likely to disrupt their quiet enjoyment; if they are without proper documentation; if directed to do so by an authority with power; if brought about by force majeure.
d. may cancel holiday arrangements before their commencement and Conquest’s liability shall be restricted to refunding all monies received on account of the cancelled booking, which is deemed to constitute full settlement.
CONQUEST MAKES ARRANGEMENTS WITH:-
Car rental companies, hotels, airlines, ground transportation and sightseeing organizations to provide you with travel services and the services they supply are subject to their terms and conditions and agreements or customs of their business. Once travel has commenced, Conquest cannot assume responsibility for any refunds, losses, damage, costs or expenses arising out of injury, accident or death, loss or damage to or delay, inconvenience, upset, disappointment, stress, frustration or loss of enjoyment or loss of holiday time resulting from:
a. the act or fault or omission by any party other than by Conquest or its employees
b. mechanical breakdown, government action, weather, strike or any other action beyond its control
c. traveller’s failure to provide documentation necessary for the journey and return to Canada
d. being denied access to aircraft due to contravening the airline's conditions of carriage
e. being held by Government direction
f. the traveller missing connections or failing to follow directions of Conquest or its representative.
No representative of Conquest, its suppliers or any Travel Agent has the authority to modify or waive any provision of this agreement.
AIR ONLY:-
Schedules, aircraft and fares are subject to change without notice. If you purchase “air only” from Conquest it is your responsibility to leave a contact number so that we may contact you in case of a change.If we are unable to contact you to advise of a change to your itinerary, Conquest will not be responsible for missed flight or additional expenses.
THE CARRIERS:-
Conquest Vacations utilizes the services of the following carriers: Air Canada, Air Transat, CanJet, Skyservice, Westjet and Zoom Airlines. Flights are operated subject to the terms and conditions of the carrier, a copy of which can be viewed at their offices or requested by mail.
TRAVEL WITH PEACE OF MIND:-
The following policy applies to all passengers who are booked to travel June 1, 2008 through November 30, 2008. There is no additional fee charged for this service.
If a hurricane has affected a destination area within a week of departure, if the Canadian Government has issued a Travel Advisory or if the U.S. National Hurricane Centre forecasts a potential hurricane, passengers will be afforded the following options:
a. Change of departure date: Passengers may change their departure date at no additional cost. Departures commence no later than December 12, 2008 for one week of holidays and December 5, 2008 for two week holidays. Rescheduled departures must be for the same flight routing and the same hotel as originally offered by Conquest Vacations
b. Change of destination: Passengers may change their holiday to any other Conquest destination providing travel dates commence within four weeks of the original scheduled departure date. Passengers choosing this option will be responsible for any additional upgrade costs should their new vacation be more expensive at the time of booking than the amount paid for the original booked vacation
c. Full Refund: Passengers may opt for a full refund (excluding insurance costs).
d. Travel as planned: Passengers may opt to continue with their original travel plans should Conquest continue to operate. No refund in full or in part will be issued should passengers decide to travel to the affected area.
For the purposes of this coverage, a “hurricane” is as announced by the U.S. National Hurricane Centre (NHC) in Miami, under either the “Atlantic” or “Eastern Pacific” categories, registering at least Category One on the Saffir-Simpson Scale (see www.nhc.noaa.gov).
If the passenger travels and the NHC determines that a hurricane passed through the destination during their vacation, and the relevant local government has issued an accompanying Hurricane Watch or Warning, the passenger is entitled to a refund for their accommodation for any disrupted days. As well, if they choose to return home early, or are evacuated from the destination, a credit for all unused accommodation costs will be provided. The credit will be in the form of a Conquest future travel voucher and will be valid for one year. Other expenses passengers may incur including airfare, food and beverage, transportation services as well as any incidental expenses are excluded from this offer. Passengers who have purchased air only will be covered for the air portion of their holiday and will not be refunded for any unused accommodation costs that they may incur.
This offer is subject to change and may be withdrawn at any time without notice. All bookings and future travel are non-transferable. For additional details refer to the terms and conditions contained herein.
